Free church tithe and offering software usually means one of two things, and they solve different problems. Some products take the money: an online giving page that processes card and bank gifts, free to the church because the donor or the processor pays a fee. Others record it: a register of who gave what, when and to which fund, which is what the annual contribution statements come out of. A church that adopts the first and assumes it has the second discovers the gap in January, when the envelopes, the plate and the platform have to be added together by hand.

Decide which half you are missing
If gifts arrive only through one online platform, that platform's own reports may already be your record and you need nothing else. If any meaningful share arrives in envelopes, in the plate or by cheque, you have two sources that do not reconcile, and the record has to sit above both rather than inside either.
Record against the household, not against the gift
The unit that matters is the household, because that is who the annual statement goes to and who asks about last year. A record organised by transaction can be totalled; a record organised by household can be totalled and also answered. Designated and restricted gifts need their fund recorded at the same moment, because reconstructing that later is guesswork.
Reconcile monthly, not annually
Add the plate count, the envelope entries and the platform export together each month against the bank. Twelve small reconciliations catch a mistake while somebody remembers the service it happened at; one big one in January finds the same mistake with nobody left who can explain it.
Produce the statements from the record
The annual contribution statement is the one document every giving household reads, it has a fixed deadline, and it has to meet the IRS substantiation rules for gifts of $250 or more. Produced from a record kept through the year it is a report; rebuilt each January it is a weekend and it still has errors.

What does a contribution statement have to say? For any single gift of $250 or more the church's written acknowledgment must state the amount, whether any goods or services were provided in return, and if so a description and good-faith estimate of their value. IRS Publication 1771 sets out the substantiation rules.
Do we need to record who gave what? To produce statements, yes. Some churches keep the plate anonymous and record only identified gifts, which is fine, and the statement then covers the identified portion. What cannot work is intending to produce statements and not recording against the household.
